Protect client data and report links
Practical steps to keep client information, hosted links and your account safe.
You hold your clients' trust, and some of their information. These habits help protect it.
Hosted report links
- Anyone with a hosted link can open the report, and recipients can forward it.
- Send links only to the intended recipients, such as your client and their agent.
- Don't post report links on social media, in public forums or in reviews.
- If a link was shared with the wrong person, contact support.
What to put in reports and notes
- Keep lockbox codes, gate codes and alarm codes out of reports and shared notes.
- Use reference notes on property fields for details that should never leave your account. They're never included in reports.
- Use private reference photos (CYA Photos) for documentation that shouldn't appear in the published report.
Downloads
The property archive CSV includes your private notes and color tags. Review it before you send the archive to anyone else.
Your account
- Use a long, unique password, and add a passkey.
- Don't share your login. Each inspector needs their own account.
- Sign out of shared computers.
Support requests
Never send passwords, card numbers or API keys. Cover client names, phone numbers and other personal details in screenshots.
Your clients' consent
You're responsible for collecting any consent your clients need to give, for example before sharing their report with a third party.
